Create Reservations for Zero-Night Groups

Stay is enhanced to allow users to create reservations for zero‑night groups using the Make Reservation option available within the group.

When users select Group ➜ Group Booking ➜ More ➜ Make Reservation, they can create a reservation when the group duration is zero nights.

The following values are pre‑filled automatically in the Check Rates tab of the Book a Reservation screen based on the zero‑night group’s configuration:

  • Arrival Date

  • Departure Date

  • Group Name

  • Room Types

Check Rates Tab Behavior

In the Check Rates tab of the Book a Reservation screen, when the arrival and departure dates are the same, and they exactly match the zero‑night group’s configured dates, the zero‑night group is displayed in the Group dropdown list.

For example, when the reservation’s arrival and departure dates are Jan 10, 2025, and the zero‑night group is also configured for Jan 10, 2025, the group will be available for selection.

However, when a reservation’s stay dates only fall within the group’s range but do not exactly match, the group cannot be selected.

For example, when a reservation spans Jan 10 - 15, 2025, a zero‑night group configured only for Jan 10, 2025, will not be shown.

To use zero‑night groups or their associated rate plans, the reservation’s arrival and departure dates must exactly match the group’s configured dates.

Housekeeping Conditions for Regular Zero‑Night Group Reservations

For rooms assigned to regular zero‑night group reservations, the housekeeping behaviour remains unchanged:

  • Rooms will adopt HK conditions based on the Default HK Condition configured
    (Settings ➜ All Settings ➜ Back of House ➜ Housekeeping ➜ Condition ➜ Default HK Condition).

  • Standard room status updates continue to occur after check‑ins and check‑outs.

For event‑only (function room) groups, no housekeeping status updates occur since:

  • No rooms are associated with these groups.

  • Housekeeping statuses therefore do not appear or change in the related housekeeping reports.

Modify Reservation (Zero‑Night Group Behaviour)

Stay supports the following behaviours when modifying reservations associated with zero‑night groups.

  • When a reservation under a zero‑night group is modified to extend its departure date, making it a multi‑night stay, the reservation will be automatically disassociated from the zero-night group.

    • When users modify the arrival and departure dates to the same date, the reservation becomes a zero‑night stay. In this case, the reservation can be associated with an available zero‑night group.

The zero‑night group will appear in the Group drop-down list only when the reservation’s arrival and departure dates exactly match the group’s date.

Conversion Restrictions for Group vs Event‑Only Bookings

Stay enforces restrictions when attempting to convert between group bookings (including day‑use) and event‑only bookings. A group (or event‑only) booking cannot be converted when:

  • The booking is in the Departing status

  • The booking is in the Departed status

  • Group bookings cannot be converted when they have at least one reservation attached.

  • When a booking is in the Departing or Departed status and does not have any reservation, the alternate option’s radio button is disabled.

When the conversion is not allowed, Stay displays the following information message: Bookings in 'Departing' or 'Departed' status cannot be converted.

When a user modifies an event-only zero-night group to a regular group, the departure date will be updated as arrival date +1 and the following message will be displayed: The departure date for the group has been updated to <Departure date>. The departure date can be modified to any date manually, even same as the arrival date.
